Under the direction of the Assistant Superintendent, performs highly complex and responsible executive secretarial and administrative services to assist the Assistant Superintendent, handles confidential matters related to the efficient running of the district office.
DISTINGUISHING CHARACTERISTICS:
This is a confidential classified position requiring a high degree of organizational planning, the performance of high level administrative duties and tasks requiring the exercise of independent initiative, knowledge, judgment and tact and the ability to relieve the Assistant Superintendent of administrative detail.
Essential Functions:
1.
Oversee preparation, development and publishing of the School Accountability Report Cards.
2.
Assist the Assistant Superintendent with updating and disseminating the annual Student Rights and Responsibilities Handbook, along with school handbooks.
3.
Performs research, analysis, drafts and report preparation in response to specific requests including the Annual Town Report.
4.
Organizes district professional development activities including registrations, course instructor payments, evaluations for district course offerings, workshops, and the Billerica Educator Institute.
5.
Maintains close relations and liaison with other departments and school site personnel while sustaining the District's integrity and security.
6.
Prepares confidential correspondence for the Assistant Superintendent.
7.
Prepares statistical data and reports as assigned and received.
8.
Processes purchase orders, stipends, and reimbursements relating to the office of the Assistant Superintendent.
9.
Review and interpret highly confidential information.
10.
Analyzes situations accurately and adopts an effective course of action.
11.
Receives and reviews all mail and correspondence directed to the office of the Assistant Superintendent to assure its proper distribution.
12.
Maintains files for the Assistant Superintendent.
13.
Receives, welcomes, screens and refers visitors and telephone inquiries to the Assistant Superintendent; when appropriate, directs them to others or resolves the callers' requests as necessary.
14.
Monitors budget expenditures and district-wide accounts.
15.
Maintains the Assistant Superintendent's calendar.
Schedules and coordinates appointments.
16.
Continues professional development in administrative, communications, human relations, financial analysis and management skills.
17.
Assists the Assistant Superintendent with the annual School Safety Committee meeting and ongoing district safety initiatives.
18.
Assists the Assistant Superintendent in the planning and implementation of the Billerica District Induction Program.
19.
Performs all administrative functions with regard to the Title I and Title IIA federal grants, including but not limited to:
Time and Effort, private school outreach, summer transition program, after school program, transportation, data collection, budget review, state reporting.
20.
Supports the work of several community organizations and school/community partnerships including the Billerica Partners for Education.
21.
Processes and tracks all home education plans and annual progress reports.
Prepares an annual report for the Assistant Superintendent regarding homeschooled children.
22.
Maintains a high level of public image in all contacts.
23.
Performs other duties as assigned.
REQUIRED
Qualifications:
1.
Excellent clerical skills; accurate word processing skills; extensive and up-to-date knowledge of business English, including vocabulary, grammatical usage, punctuation, and report presentations.
2.
Ability to self-start in performing responsible, complex administrative and clerical work.
3.
Proficient in Microsoft Word, Excel, Munis (financial software), and Google or other similar software programs and the ability to adapt to new technologies.
4.
Maintain and compile accurate and complete records and reports.
5.
Research, analyze and prepare reports on issues with minimal supervision.
6.
Has strong leadership ability.
7.
Specialized duties require access to and possession of information relating to employer-employee relations; therefore this is a confidential position and not a part of the Classified Bargaining Unit.
8.
Maturity, confidence, tact and personal judgment required of a professional executive assistant to effectively deal with stressful, diverse and dynamic work situations.
EDUCATION AND
Experience:
1.
High school diploma or equivalent.
2.
A minimum of five (5) years experience in a progressively higher level of executive secretarial/administrative work, preferably within a school district environment.

Estimated Salary: $20 to $28 per hour based on qualifications.
